Staff Accountant, Purchasing
Kent ISD
Full time, 260 day year-round position
Non-Union Hourly Classified, Grade 5
Responsible for processing accounting transactions, compiling financial reports, maintaining accurate records for documentation and control.
Job Qualifications
- Bachelor’s degree with concentration in accounting preferred.
- Proficient at Microsoft Excel and knowledge of other Microsoft Suite products.
- Familiar with school fund accounting procedures and systems.
- Must possess a positive attitude and interpersonal skills to clearly communicate to both internal and external customers.
- High level of organizational and problem-solving skills with the ability to prioritize and work independently with confidentiality, trust, and accuracy.
- Ability to perform the job on a regular and recurrent basis.
Duties and Responsibilities:
Purchasing:
- Vendor maintenance – Collect and update W-9 information in financial system.
- Enter requisitions for Business Office.
- Review and approve requisitions for the district.
- Creating and distributing Purchase Orders to Kent ISD Staff and outside vendors.
- Purchase Order maintenance.
- Monitor requisitions in progress and open purchase orders.
- Set up and train staff on use of online supply order systems. This includes but is not limited to Amazon Business, Staples, Sam’s club, School Specialty, Office Depot, PayPal.
- Issue sales tax exemption forms to vendors and staff.
- Makes purchases for eligible orders on district purchasing card (P-Card); reconciles statement monthly.
- Process vendor credit applications.
Other:
- Assist with weekly Kent ISD AP check runs.
- Maintain & reconcile Cash Book on a weekly basis
- Monthly bank reconciliation tasks in coordination with other members of the business office
- Responsible for assisting with closing of accounting periods in financial system
- Preparation, processing and filing of monthly and annual sales tax reports to the State of Michigan.
- Preparing and filing of annual Outstanding Property Report to the State of Michigan (Escheating). This includes but is not limited to following up on a monthly basis with Vendors and Employees on Outstanding Checks.
- Process and reconcile invoices to local school districts, including but not limited to monthly Dean Transportation Invoices.
- Review and approve In House Transfers
- Prepare and allocate account information on property tax reimbursement invoices received from local municipalities.
- Preparation of Journal Entries as needed.
- Prepare information for Summer Tax Collection Fee process
- Complete assigned tasks as needed for annual Transparency & Accountability Report.
- Tasks as assigned for year-end processing.
- Continued tasks throughout the year to prepare for Annual Audit. This includes but is not limited to, maintaining lease files, fixed assets reconciliation, and other tasks as assigned.
- Performs tasks and projects as requested by Director of Fiscal Services.
- Provides backup for various tasks within district’s business office.
